Location:  403A-55 Head St Dundas, Ontario

Hours: Monday through Friday, 9AM to 5PM  

Job Description:

Join us as a full time administrative assistant, where you’ll play an essential role in supporting our team and ensuring smooth operations for our Team.

Job Responsibilities and Tasks:

  • Supporting our Service and Sales teams.
  • Organize, maintain, and update client digital files in accordance with industry compliance standards. 
  • Manage incoming and outgoing correspondce, mail and courier packages. 
  • Enter and update client details, policy information and communication logs in agency management systems to ensure accuracy. 
  • Maintain office supplies, equipment and inventory. 
  • Prepare onboarding materials, guides and documentation for new hires. 
  • Manage the agent's calendar, including scheduling appointments, follow-ups, renewal reviews and internal meetings. 
  • Draft emails, letters, notices, and communications on behalf of the agent when requested. 
  • Communicate task updates to the agent and ensure alignment on priorities.

Required Skills and Qualifications:

  • Experience as an administrative assistant or similar role.
  • OTL Licence preferred, not required. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; associate or bachelor’s degree preferred.
